Legal Terms for Ticket Holders

A personal note from us

Rise of AI is a family business. We care about creating an event where people feel welcome, conversations are meaningful, and everyone is treated with respect.

Legal terms are still necessary. They help us set clear expectations and handle questions fairly. We have therefore tried to write these terms in straightforward, human language.

These terms apply to guests and ticket holders attending a Rise of AI event. Separate agreements apply to our partners, sponsors, exhibitors, speakers, and service providers.

2. Booking and conclusion of the contract

Tickets may be sold through the Rise of AI website or through an external ticketing platform.

The presentation of tickets in the ticket shop is an invitation to place an order. By completing the booking process, the purchaser submits a binding offer to purchase the selected ticket.

The contract is concluded when the booking is confirmed by us or by the ticketing platform acting on our behalf.

The purchaser is responsible for providing complete and accurate information during the booking process. Booking confirmations and tickets are generally sent electronically to the email address provided during the booking.

The ticket, booking confirmation, or corresponding digital admission credential must be presented when entering the event.

3. Ticket prices and payment

The applicable ticket price, included services, taxes, and any additional ticketing or payment fees are displayed during the booking process.

Payment is made using one of the payment methods offered in the ticket shop. The payment conditions of the respective ticketing or payment provider may also apply.

Unless expressly stated otherwise, the ticket price applies to one person and to the event specified in the booking confirmation.

Access to particular areas, workshops, dinners, digital content, or additional services depends on the ticket category purchased.

4. No exchanges, cancellations, or voluntary refunds

Ticket purchases are final.

Tickets cannot be exchanged, returned, or voluntarily cancelled. We do not provide refunds simply because a guest is unable to attend, has changed their plans, has made an incorrect booking, or no longer wishes to participate.

For contracts concerning leisure-related services scheduled for a specific date or period, there is generally no statutory 14-day right of withdrawal under German law.

Any mandatory statutory rights of the purchaser remain unaffected.

5. Free ticket transfers

If you cannot attend, you may transfer your ticket to another person free of charge.

There is no transfer fee. Simply email contact@riseof.ai and provide:

  • the booking or order number;

  • the name of the current ticket holder;

  • the full name of the new ticket holder; and

  • the email address of the new ticket holder.

Please contact us as early as possible so that we can update the guest list and name badge before the event. We will take care of the change and confirm it by email.

The original purchaser and the new ticket holder are responsible for arranging any payment between themselves. Rise of AI does not refund the original purchaser as part of a ticket transfer.

Commercial resale, resale at an inflated price, or the systematic purchase of tickets for resale is not permitted. We may cancel tickets that have been purchased or offered in breach of this rule.

6. Admission and conduct at the event

Each ticket may be used by one person only. Tickets may not be duplicated or used by several people.

We may request suitable proof of identity where this is reasonably necessary to verify the ticket holder or ticket category.

We want Rise of AI to be a respectful and safe environment. Guests must follow reasonable instructions from the event team, venue staff, and security personnel.

We may refuse admission or exclude a guest from the event where there is a legitimate reason, particularly in cases of:

  • harassment, discrimination, threats, or violence;

  • significant disruption of the event;

  • danger to guests, staff, speakers, or property;

  • misuse or duplication of a ticket;

  • unauthorised commercial activity;

  • serious violation of venue rules; or

  • non-payment of the ticket price.

Where exclusion is caused by the guest’s own conduct, the ticket price will not be refunded, except where mandatory law requires otherwise.

7. Programme, speakers, and event changes

A live conference depends on many people and circumstances. Speakers may become unavailable, sessions may move, and the programme or schedule may need to change.

We may therefore make reasonable changes to speakers, sessions, formats, rooms, timings, catering, and other programme elements, provided that the overall character of the event is maintained.

A change to an individual speaker, session, timetable, or programme element does not in itself entitle the ticket holder to cancel the ticket or receive a full or partial refund.

We will communicate material changes as early as reasonably possible.

8. Postponement and cancellation

If an event is postponed, the ticket will normally remain valid for the replacement date. We will inform ticket holders about the available arrangements.

If we cancel an event without providing a replacement event or equivalent service, we will refund the ticket price to the extent required by applicable law.

We are not responsible for travel, accommodation, visa, or other expenses incurred by a guest in connection with the event, unless we are legally required to reimburse such costs.

Mandatory statutory rights remain unaffected.

9. Circumstances beyond our reasonable control

We are not responsible for delays, changes, postponements, or cancellations caused by circumstances beyond our reasonable control.

These circumstances may include natural disasters, extreme weather, epidemics or pandemics, war, terrorism, civil unrest, strikes, transport interruptions, power or telecommunications failures, venue closures, official orders, security incidents, or comparable events.

Where such circumstances occur, we will act reasonably and communicate the available options. Depending on the situation, this may include postponing the event, changing its format, providing an equivalent service, or issuing a credit or refund where legally required.

10. Travel documents and visas

Guests are responsible for organising their own travel, accommodation, insurance, passports, visas, and other required documents.

We may provide a standard booking confirmation or attendance letter where appropriate. However, we cannot guarantee that a visa will be issued.

A rejected or delayed visa application does not normally entitle the guest to a refund. The ticket may instead be transferred to another person in accordance with Section 5.

11. Photography, video, and audio recordings

Photography, video recording, and audio recording may take place during Rise of AI events.

Recordings may be used for event documentation, editorial reporting, and communication about Rise of AI, subject to applicable law. Further information about how we process personal data and how guests may exercise their rights is available in our Privacy Policy.

If you have a particular concern about appearing in recordings, please speak to the event team. We will do our best to find a practical solution.

Guests may not record complete presentations, livestream sessions, or use recordings commercially without prior permission.

12. Event materials and intellectual property

Presentations, videos, photographs, designs, documents, and other event materials may be protected by copyright, trademark rights, or other intellectual property rights.

Unless expressly stated otherwise, guests receive a personal, non-exclusive, and non-transferable right to use materials made available to them for their own informational purposes.

Materials may not be reproduced, published, sold, commercially exploited, or made publicly available without the permission of the relevant rights holder.

“Rise of AI” and the Rise of AI logo are protected brands of AI for Humans GmbH.

13. Personal data

We process personal data where this is necessary to manage bookings, payments, admission, name badges, ticket transfers, event communication, security, and the delivery of event services.

Ticketing, payment, venue, and other service providers may process data on our behalf or under their own legal responsibility.

14. Liability

We are liable without limitation for damage caused intentionally or through gross negligence and for damage arising from injury to life, body, or health.

We are also liable where liability is mandatory under applicable law.

In cases of ordinary negligence, we are liable only for a breach of an essential contractual obligation. In such cases, liability is limited to the damage that was foreseeable and typical when the contract was concluded.

Guests remain responsible for their personal belongings. We are not liable for lost, stolen, or damaged items unless the loss or damage was caused by us in circumstances for which liability cannot legally be excluded.

The above limitations also apply to our employees, representatives, and service providers.

15. Applicable law

These terms and the contractual relationship are governed by German law.

If the ticket holder is a consumer, this choice of law does not remove any mandatory consumer protection granted by the law of the country in which the consumer has their habitual residence.

The statutory rules concerning jurisdiction apply.

16. Final provisions

If an individual provision of these terms is or becomes invalid, the remaining provisions remain unaffected. The applicable statutory provision will take the place of the invalid provision.

Any individual agreement expressly made between the purchaser and AI for Humans GmbH takes precedence over these general terms.
